h2. Work with Freeholders, Leasehold Directors and leaseholders
For the efficient running of a residential block communication between all parties is essential. Often the management agent performs a vital function in dispute resolution in understanding the requirements of leaseholders, freeholders or management companies. We can when required attend Board meetings
h2. Annual budget
Leaseholders in residential blocks are required to pay for services related to common items within the development. These are day to day running costs including electricity water rates maintenance renewals insurance. The budgets for these are projected annually and paid in advance. Budgets should ideally be the same as the actual spend, this is a good budget. We aim to provide an accurate annual budget so that leaseholders pay enough but not to much and so that there are only small adjustments at year end.
h2. Service charge demands and collection
Annually the service charges based on the budget need to be distributed to the leaseholders. Each leaseholder has an account which reflects payments and charges with arrears and adjustment. When payments are delayed then reminders are issued and in the last resort court action will result. All money collected are held in a client account.
h2. Ground rent collection.
When required the annual ground rent is collected for the freeholder under the terms of the lease.
h2. Reserve fund, long term maintenance budget
The reserve fund is a collection from the leaseholders under the terms of the lease for capital repairs and renewals such as redecoration of retained parts like windows, doors and facia; renewal of gates and fences; lifts etc. These funds are long term budgets and often involve estimates buy a surveyor over 5 to 10 years. The budget is then made out based on the best recommendation for costs and timing.
h2. Maintenance
Maintenance issues centre on the common areas, not the individual flats which are the responsibility of the freeholder. We keep in constant survey the residential block and respond to residences complaints to ensure a well kept, pleasant and safe environment. This includes getting the best price for quality work that is the lease disruptive and in the shortest time
h2. Health and Safety
The Health and Safety legislation requires that there is a duty of care by the freeholder and/ or leasehold company for residents, works and visiters. A breach of legislation can result in criminal conviction with either a custodial sentence and/ or a fine. It is important that every residence complies with H&S legislation
h2. Building Surveys
Residential blocks commonly require a building survey to estimate future reserve expenditure, major works or health and safety compliance.
h2. Disputes resolution
There is often disputes between various parties in a residential block. As a third party with the interests of the whole residence the managing agents are in a unique position to help in resolving problems.
h2. Company secretary and company returns
In the case of a freehold or leasehold company there will be secretarial functions annual company returns.
h2. Annual returns
Every year accounts must be prepared for distribution to leaseholders, preparation of tax returns and companies house filing.
